General Terms & Conditions

These terms and conditions (Terms) apply to the order by you and supply of services by us to you (Contract). No other terms are implied by trade, custom, practice or course of dealing.

1.SALE OF TICKETS


1.1 You are responsible for carefully examining the information and details included in the ticket upon receipt. 


1.2 Tickets you purchase are for your personal use only. Tickets are not transferable and must not be transferred or resold without prior written consent of Cosmonauts. Cosmonauts has the right to cancel tickets that have been resold at a higher price without prior notification and the holder may be refused entry.


1.3 Cosmonauts reserves the right to introduce discounts and special offers at any time, and these cannot be applied to tickets already purchased. Only one discount can apply to any one ticket.


2. CANCELLED/ RESCHEDULED EVENTS/CHANGES TO AGENDA


2.1  Where an event is cancelled or rescheduled, we will use our reasonable endeavours to notify you using the details you provided us with at the time of ordering. When possible we will inform you of such cancellation at least 2 weeks before the date of the event.


2.2 It is your responsibility to inform us of any change to the contact address, telephone number or email address you provide us with at the time of ticket purchase.


2.3 Cosmonauts reserves the right to change the agenda, speakers or venue of the event(s) at its sole discretion. All ticket holders will be notified of any changes as promptly as practically possible on the contact information provided by you.


2.5 Speakers, programme and discussion details are correct at the time of sale or print publication, but amendments and changes are highly possible and may be unavoidable.


3. REFUNDS/EXCHANGES


3.1 Ticket(s) purchased on this website or through our sales team, cannot be exchanged, cancelled or refunded after purchase. Transfer of a ticket may be possible only after receipt of prior written confirmation from Cosmonauts. 


3.2 The use of deputising participants, speakers, presenters, agenda topics or themes shall not comprise a material change.


4. ADMISSION


4.1 Cosmonauts reserves the right to refuse admission, and to request any ticket holder to leave our building at any time. For example, if a ticket holder appears to be under the influence of drink and/or drugs and/or is acting aggressively, carrying offensive weapons or illegal substances, the ticket holder may be refused admission.


4.2 Cosmonauts reserve the right to refuse re-admission to any person not in possession of a ticket or the retained portion of the ticket.


4.3 Attendees must not obstruct any stairway or gangway within a venue and must not affect the enjoyment of the audience and/or the running of the venue/concert and/or cause a risk to the safety of the audience or officials.


4.4 All persons must follow the instructions of any representative of Cosmonauts. Any persons in breach of this clause may be removed from the premises.

 

5. LIABILITY


5.1 Personal arrangements including travel, accommodation or hospitality relating to the event which have been arranged by you are at your own risk. Unless otherwise stated in this clause, our and the venue’s liability to you in connection with the event (including, but not limited to, in the event of cancellation, rescheduling or material change to the programme of the event) shall be limited to the ticket price paid by you including the per ticket booking fee.


5.2 Neither we nor the venue will be responsible for any loss, injury or damage to any person (including you) or property howsoever caused (including by us and/or by event partner(s)): (a) in any circumstances where there is no breach of a legal duty of care owed by us or the venue); (b)in circumstances where such loss or damage is not a reasonably foreseeable result of any such breach (save for death or personal injury resulting from our negligence); or (c) to the extent that any increase in any loss or damage results from breach by you of any of these Terms and Conditions and/or any terms and conditions of the event partner(s).


5.3 Nothing in these Terms and Conditions seeks to exclude or limit our or the event partner(s)’ liability for death or personal injury caused by our or the event partner(s)’ (as relevant) negligence, fraud or other type of liability which cannot by law be excluded or limited.


6.GENERAL


6.1 Cosmonauts or its agents may carry out film or sound recording in or around our venues. By purchasing tickets you consent to you and your party being included in any recording, and to its exploitation, without payment.

 

7. BADGE SCANNING AND MARKETING CONSENT

7.1 Badge Scanning Technology The Event utilises electronic badge scanning technology operated by exhibitors, sponsors, and other commercial participants ("Sponsors") to facilitate networking and business connections.

7.2 Consent Through Badge Scanning By allowing any Sponsor to scan your event badge, you expressly consent to: (a) The collection of your contact details including name, job title, company, email address, and telephone number; (b) The sharing of such information with the scanning Sponsor; (c) The Sponsor’s use of your information for post-event marketing communications and business development purposes.

7.3 Voluntary Participation Badge scanning is entirely voluntary. You may: (a) Decline to have your badge scanned by any Sponsor or (b) Selectively choose which Sponsors may scan your badge.

7.4 Marketing Communications Sponsors who scan your badge may contact you after the Event for legitimate business purposes including: (a) Follow-up communications regarding products or services discussed at the Event; (b) Marketing materials related to their business offerings; (c) Invitations to future events or business opportunities.

7.5 Data Protection Rights Your consent to badge scanning does not affect your rights under UK GDPR, including: (a) The right to withdraw consent for future marketing communications directly with the relevant Sponsor; (b) The right to request deletion of your data from the Sponsor’s systems; (c) The right to complain to the Information Commissioner's Office if you believe your data has been misused.

7.6 Organiser Disclaimer The Organiser: (a) Acts solely as a facilitator of the badge scanning technology; (b) Is not responsible for how Sponsors use scanned contact information; (c) Makes no representations regarding Sponsor’ data protection compliance; (d) Disclaims all liability for Sponsor’ post-event marketing activities or data handling practices.

7.7 Third-Party Responsibility Each Sponsor is solely responsible for: (a) Complying with applicable data protection laws regarding scanned information; (b) Providing appropriate privacy notices for their data processing activities; (c) Handling data subject requests and complaints; (d) Maintaining appropriate security measures for collected data.

By attending the Event you acknowledge and agree to grant Cosmonauts the right at the Event to record, film, photograph, or capture your likeness in any media now available or hereafter developed and to distribute, broadcast, use, or otherwise globally to disseminate, in perpetuity, such media without any further approval from you or any payment to you. This grant to Cosmonauts includes, without limitation, the right to edit such media, the right to use the media alone or together with other information, and the right to allow others to use or disseminate the media.
